Financial Secretary
Posted: 12/29/2024Financial Secretary - Marysville Borough is a dedicated and detail-oriented Financial Secretary to join our team. This role is essential in providing administrative support and ensuring the smooth operation of our financial department. The ideal candidate will possess strong organizational skills, excellent customer service abilities, and a professional demeanor. As a Financial Secretary, you will be responsible for managing various clerical tasks while maintaining confidentiality and accuracy in all financial dealings.
Salary: $21.00 -$25.00 per hour (depending on experience)
Duties include but are not limited to:
- Receive all monies due the Borough and deposit them promptly (within a week of receiving the monies) in a designated depository in the name of the Borough.
- Keep distinct and accurate accounts of all sums received from taxes and other sources, which accounts shall be open to the inspection of the Borough
- Maintain vendor files and maintain contact concerning invoices.
- Prepare necessary checks to pay vendors from approved invoices.
- Review invoices weekly and with the Borough Manager's approval pay the invoices that are due before the council meeting.
- Prepare vendor checks for monthly borough council approval and signing.
- Prepare reports to be included with the monthly borough council meetings.
- Provide required financial reports to local, state, and federal governments.
- Maintain bank accounts, and credit card accounts, and reconcile the statements every month.
- Pursue collection of returned unpaid checks with the bank and Police Department.
- Transfer money between bank accounts when needed or requested.
- Provide reports and other information to auditors.
- Process the bi-weekly payroll and quarterly payroll taxes.
- Calculate the appropriate amounts to transfer from the Sewer, General, SHA, and Pool funds.
- Process the annual W-2 forms and 1099’s.
- Create invoices when needed.
- Prepare monthly payable reports, credit card reports, budget reports, and financial statements by the 1st Tuesday of the month or the day before the Finance Committee Meeting.
- Prepares credit applications, sales tax exempt certificates, W-9s.
Other Job Responsibilities
- Maintain records for individual personnel sick leave, vacation leave, etc.
- Prepares and creates the Borough Newsletter quarterly.
- Parks and Recreation and pool involvement including, but not limited to creating fliers, posting events on the website and Facebook, fundraisers, playground, pool memberships, ideas, etc.
- Updating the Borough website.
- Other or special duties and projects as assigned by the Borough Manager.
- Provide exceptional customer service by addressing inquiries and resolving issues promptly.
- Manage office tasks, including data entry, filing, and calendar management to ensure smooth operations.
- Utilize computer skills to maintain records and prepare reports using Microsoft Office and QuickBooks.
- Organize and prioritize tasks effectively to support the administrative needs of the office.
- Maintain a professional phone etiquette while handling multi-line phone systems and assisting clients.
Qualifications
- Excellent organizational skills to manage multiple tasks efficiently
- Proficient in Microsoft Office for documentation and communication.
- Experience with QuickBooks a must.
- Experience with QuickBooks Payroll a must.
